Privacy Policy

1. Introduction

Welcome to Mailvern, a Google Workspace add-on that helps users create, personalize, and send emails directly from Google Sheets using Mailvern's built-in email editor.

Your privacy is important to us. This Privacy Policy explains what information Mailvern accesses, how it is used, and how we protect your data.

Mailvern is designed to operate primarily within Google's secure infrastructure and requests only the permissions necessary to provide its functionality.

2. Information We Collect and Access

2.1 Google Account Information

When you install Mailvern, Google provides limited account information through OAuth authorization, including your Google account email address and basic profile information required for authentication.

  • Authenticate your account
  • Validate your subscription
  • Manage licensing
  • Enable customer support when necessary

2.2 Google Sheets Data

Mailvern accesses only the spreadsheet you actively choose to use. This access is required to:

  • Read column headers and spreadsheet values
  • Identify recipient email addresses
  • Apply personalization placeholders
  • Evaluate sending conditions
  • Update campaign status columns (Sent, Failed, Skipped, Scheduled, etc.)
  • Generate campaign analytics

2.3 Gmail Permissions

Mailvern requests Gmail permissions only to send emails from your Google account. It sends on your behalf, supports your Gmail aliases, and uses Mailvern's built-in email editor to compose emails.

Mailvern does not read your inbox or conversations, does not access Gmail drafts, does not modify existing emails, and does not store email message content externally.

2.4 Google Drive Access

Mailvern requests limited Google Drive access only when you choose to attach files to an email. The selected file is uploaded to your own Google Drive, Mailvern temporarily accesses that file to attach it to outgoing emails, and the attachment is sent through your Gmail account.

Mailvern accesses only files you explicitly select, and does not browse, index or access other files stored in your Google Drive.

2.5 External Service Communication

Mailvern securely communicates with its backend only when necessary to validate your subscription status, current plan, license eligibility and feature access. Only the minimum information required for licensing is transmitted.

If email tracking is enabled, Mailvern records engagement events such as opens and open timestamps. Tracking never includes email message content or spreadsheet data, and is used solely to provide campaign analytics.

Mailvern may collect anonymous usage information to improve reliability, diagnose errors, measure feature usage and improve the user experience. This never includes email content or spreadsheet data.

3. What We Do NOT Collect

Mailvern does not:

  • Read Gmail inbox messages
  • Read Gmail drafts
  • Permanently store spreadsheet contents
  • Permanently store email bodies
  • Sell personal information
  • Share user data for advertising
  • Build marketing profiles
  • Access Google Drive files without your action

4. How We Use Your Information

Information accessed by Mailvern is used solely to:

  • Send emails from Google Sheets
  • Personalize email content
  • Evaluate sending conditions
  • Process attachments selected by the user
  • Track campaign engagement
  • Display campaign analytics
  • Validate subscriptions
  • Enforce plan limits
  • Improve product reliability

5. Data Storage and Retention

Mailvern is designed to minimize data storage. Your spreadsheet data, email content, attachments stored in Google Drive and Gmail messages all remain inside your Google account.

Mailvern may store limited operational information using Google Apps Script Properties, such as usage counters, subscription identifiers, license status and configuration settings.

Mailvern does not store spreadsheet contents, email bodies, email attachments or Gmail messages externally. Only minimal operational metadata required for licensing, analytics and tracking may be processed by Mailvern's backend.

6. Data Security

Mailvern follows industry-standard security practices, including:

  • HTTPS encryption for all communications
  • Secure Google OAuth authentication
  • Least-privilege permission model
  • Minimal data collection and transmission
  • No external storage of spreadsheet or email content

7. Third-Party Services

Mailvern integrates with Google Workspace APIs for Sheets, Gmail, Drive and authentication.

Google Analytics is used to collect anonymous usage metrics that help improve Mailvern. No email content or spreadsheet data is transmitted.

PayPal is used exclusively to process subscriptions and recurring payments. Payment information is processed directly by PayPal, and Mailvern never receives or stores your payment card information.

Mailvern's own backend services handle subscription validation, license management, usage verification and email tracking synchronization. Only minimal operational data is processed.

8. Payment Processing

All payments are processed securely through PayPal. Mailvern associates subscriptions with the Google account email address used to access the add-on.

Mailvern does not store payment card information, does not process payment credentials, and has no access to your PayPal account. All payment information is handled according to PayPal's Privacy Policy.

9. User Control and Data Rights

You may revoke Mailvern's access at any time through your Google Account settings. After access is revoked, Mailvern can no longer access your Google account, and future email sending and subscription validation will stop until authorization is granted again.

Mailvern complies with:

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time as Mailvern evolves. Material changes will be communicated through the Mailvern website or within the add-on.
