Guide

How UTM links work and how to use them well

UTM parameters are five simple tags you bolt onto the end of a URL. Analytics reads them and tells you which campaign, channel and creative actually produced a visit, a signup or a sale.

What each UTM parameter means

utm_source names the referrer (newsletter, linkedin, google). utm_medium names the channel type (email, cpc, social). utm_campaign names the specific push. utm_term carries a paid keyword. utm_content separates two links inside the same message.

How to create a UTM link

Paste your landing page URL, add source, medium and campaign, then copy the generated link. Existing query parameters such as ?plan=pro stay untouched, and the tags are appended after them with a & separator.

Naming conventions that keep reports clean

Pick one lowercase, hyphenated style and stick to it. Spring_Launch, spring launch and Spring-Launch become three separate rows in GA4. Keep a shared sheet of approved source and medium values for your team.

Reading the results

In GA4 open Reports, then Acquisition, then Traffic acquisition and switch the dimension to Session campaign or Session source / medium. Compare conversions rather than sessions so you judge campaigns on outcomes.

Worked examples

A monthly newsletter linking to your pricing page:

https://example.com/pricing?utm_source=newsletter&utm_medium=email&utm_campaign=march-digest&utm_content=header-cta

A Google Ads search campaign bidding on a keyword:

https://example.com/?utm_source=google&utm_medium=cpc&utm_campaign=brand&utm_term=mail+merge+google+sheets

The second link in the same email gets its own utm_content value, so you can see whether the header button or the footer link does the work. That single habit usually teaches you more about your emails than any open-rate chart.

Best practices before you send

  • Never tag internal links between pages of your own site — it restarts the session and overwrites the original attribution.
  • Keep tags lowercase and hyphenated. Analytics is case sensitive, so one capital letter splits a campaign in two.
  • Do not put anything private in a UTM tag. The full URL is visible in the address bar, browser history and referrer headers.
  • Tag campaigns, not everything. Five well-named campaigns are more useful than fifty improvised ones.
  • Click the finished link once yourself and confirm the page loads correctly with the parameters attached before the campaign goes out.

Using UTM links in mail merge campaigns

If you send personalized email from Google Sheets, put the tracking URL in its own column and merge it into the message body. That way each segment, follow-up stage or list can carry its own utm_campaign value without editing the template. Pair it with the Email Spam Checker and Email Subject Line Checker so the message lands as well as it measures, and confirm your sending domain passes SPF and DMARC checks. More background lives in the Mailvern blog and documentation.
